Check those records

With just four days to go, here's the sixth and final part of our series of weekly bulletins to help you prepare for the new technology, courtesy of the FTA.

Vehicle operators must periodically check tachograph records to ensure EU drivers' hours rules are being observed.

As a minimum you must be able to analyse downloaded digital data for compliance with those rules and to check that speed limiters are working. But you may also decide to use the data for other purposes, such as analysing working time compliance, calculating pay or providing additional management information.

Raw (pre-analysed) digital data is unintelligible but can be analysed by using specially written software running on PCs or laptops.

Your analysis system may also need to cope with non-digital information such as: • Tachograph charts— where drivers have also driven vehicles fitted with analogue equipment • Printouts — where it is impossible for a driver to use their driver's card (when the card is lost, stolen or malfunctioning) • Other manual records — where the tachograph is not in working order • Records of absences and work for other operators, if also analysing for working time compliance • Other information needed for other purposes, such as calculating pay Stand-alone software packages are available for those who want to analyse their own data. Alternatively, analysis services are offered by a number of providers. There are visiting services, where data is analysed and reported to operators on site; and bureau services, which analyse digital data transmitted to them electronically (via the internet or GPRS), or received on memory cards through the post.
