Also we keep a full record of all maintenance repairs and servicing of all vehicles, but only by means of entries in a plain book. Is this legal or should we use special forms or books?

AIt is not obligatory to use special forms

to record inspections of goods vehicles. The legal requirement only extends to making the inspections and keeping a record to the effect that the inspection was made, what was inspected and by whom.

It is in order for you to keep the records of your vehicle repair and service work in a plain book provided that the record is comprehensive and is a true record of what work has been carried out, when and by whom.

However, in both instances it may be found to be far easier to keep suitable records if preprinted forms are used for inspections and repair work.

Such forms may be obtained from their Associations by members of the FTA and RHA, and some oil companies and vehicle manufacturers supply them free to users of their products.

It is possible to have forms printed privately for the purpose and some commercial stationers also supply suitable forms.
