ritish Car Auctions has moved into document storage to help leasing companies and major fleet operators save cash when the time comes to re-market their vehicles.

The DocuSafe system is designed to store documents like the V5 and MoT certificate during the vehicle's working life, allowing the legal owner to simply call up the documents when the vehicle hits the used market.

BUsiness development manager Neil O'Keefe says the current standard of document management in many UK fleets is costing them money as replacement V5 docUments cost £.19 each; it can also cause futu e problems by potentially delaying sales into the used sector. O'Keefe claims that the syst m is as good as foolproof "In many cases these issues arise though simple administrative errors," he adds. "The wrong file in the wrong folder, or documents in the post never arriving. Our research indicates that up to half of all vehicle documents held by fleets may be incorrect."

DocuSafe scans the documents and keeps both the hard copy and the scanned versions in a 56m2 fireproof storage unit controlled by a management software system.The system features optical recognition technology for scanning and can store spare keys and satellite navigation disks as well.

It holds up to 500,000 vehicle documents and has already sparked significant interest as nothing this high-tech is widely available in the re-marketing sector for leasing companies or major fleet businesses.
